Thanks for the info. I have not seen this either. I will have to try it out. In my business, everything is done by email, so it would be great to have that as an option. I guess you just have to be careful of whom you send it to; they could send out a letter from you!! What will they think of next??
Oh, and I so agree with the doctor's handwriting. I have always wondered if it was a requirement for their degree to write like that. It seems they all do!!!

I cannot tell you how many dull, boring, and coma-inducing lectures I have sat through and the one thing they all had in common was the speaker just read their PowerPoint presentation. Snoozefest! I have given many presentations and helped many plan theirs. That is the number one thing I tell them, know your material and DO NOT READ your PowerPoint! If you look at the audience and engage with them, they will be more alert and pay more attention and may actually even remember what you said. All your tips are great!

Let me second the tip about repeating the phone number. If you're calling from a cellular phone or if the person is calling in from their cell, Murphy's law says that the reception will break up just as you recite the phone number.

And ditto repeating it slowly. When you recite your phone number, you're accessing a different part of your brain and people have a tendency to speed up rather than slow down.

Great advice. Readers should also remember to check all attachments. Open it before you click send or send directly from the document. Sending the wrong document is unprofessional and can cause huge headaches. Sending the email without the attachment just looks sloppy.

Good points, Nicole. I'd add keep the letter to one page, especially if you're using it to pave the way to an appointment with the recipient. Use a heavier bond paper with your corporate letterhead and sign your name in blue ink. Don't use a cheap giveaway pen. I believe business letters are underutilized, and because of that, make an impact when received. How many business letters (not junk mail) have you received this week? Now, how many e-mails have you received? See what I mean?

Thanks for the great advice in a concise format. In our electronic age we often think that reading on the screen is an effective proofreading technique. For a short email it's fine. For a document of that is more than a half a page it should be printed out and proofed.

Nicole- Perfect suggestions. I always add advice to check all attachments. I have heard of a few situations and have been the recipient of the wrong attachment. Sometimes it's just embarrassing but it can also be disastrous. I know one employment attorney who never sends documents as attachments but prefers to open the document and use the send function in the program.

I completely agree with the third bullet point. I've been in meetings where the organizer has taken a very firm hand in keeping the conversation moving in the right direction (and reining it in when folks start going off-topic) and it makes for a much more productive meeting. It can come across as a little stern sometimes, but with some groups it can be absolutely necessary. Nothing feels more like a waste of time than a meeting that devolves into a big, shapeless conversation about anything and everything.

Business letters are important letters. What's the use if not the addressee bother to readout point out the way to get the attention with the subject line? Letters now a days has modern formats. But I think subject line matters.

I agree with you 100% on this. The subject line is what I look at along with who it is from before I open something. If the the subject line is catchy I might open it and if it doesn't sound interesting, straight in the trash bin it goes.

The most problemetic and most important part of a presentation is the content. If you do not know what you want to say and how you want to say it then the whole thing will be very boring. The second most important thing is rehearsal. After doing one or two rehearsals, it becomes very clear to the speaker what he wants to say. So, if you have time rehearse a little bit.

"Here's the thing to remember with presentation materials: they are props, you are the show. A great PowerPoint won't save you if you shank your delivery." Exactly, many times we can see the speakers making a mess out of an excellent powerpoint presentation.

Context is everything. In the proper setting, the five words cited here as "meaningless" could have a significant impact. Every industry is likely to have its own list of words that have lost meaning and most professionals have their own personal list of "empty" words.
